Important Tips

Accuracy Tip: Use actual data from your logs, not estimates

Seasonal Variations: Account for winter fuel consumption changes

Route Specific: Different routes may have different MPG

03

Manage Fixed and Variable Costs

Fixed Monthly Costs

Customizable

Truck Payment: Default $1,200 (remove if owned outright)

Trailer Payment: Default $450 (remove if not applicable)

Insurance: Default $1,200 (adjust to your premium)

IFTA/Permits: Default $150 (state-specific)

Variable Costs Per Mile

Customizable

Maintenance: Default $0.18/mile (based on equipment age)

Tires Reserve: Default $0.07/mile (preventive budgeting)

Oil & Fluids: Default $0.03/mile (DEF, oil changes)

Tolls/Scales: Default $0.02/mile (route dependent)

Driver Pay: Calculated automatically in Advanced Mode

Add Custom Items: Click "+ Add Variable Cost"

04

Configure Driver Pay (Advanced Mode)

Method 1

Percentage of RPM

Default: 25% of loaded revenue per mile

How it works: Driver gets percentage of gross revenue

Example: $2.25 RPM × 25% = $0.5625/mile driver pay

Best for: Owner-operators splitting revenue

Method 2

Fixed Salary + Bonus

Default: $4,000/month + $0.10/mile bonus

How it works: Guaranteed salary plus mileage incentive

Example: $4,000/10,000 miles + $0.10 = $0.50/mile total

Best for: Company drivers with steady income

Method 3

Per-Mile Pay

Default: $0.60/mile

Options: Pay on all miles OR loaded miles only

Example: 10,000 miles × $0.60 = $6,000/month

Best for: Standard industry compensation

Method 4

By Load Type

Base rate: Uses % of RPM method

Hazmat surcharge: +$0.10/mile default

Oversized surcharge: +$0.20/mile default

Best for: Specialized freight operations

Important Notes

Important: Driver pay is automatically added to variable costs

Load Type: Select Standard, Hazmat, or Oversized for appropriate surcharges

Real-time Update: "Driver Pay / mile" shows calculated amount instantly

05

Configure State Mileage Taxes (Advanced Mode)

These states charge mileage-based taxes in addition to fuel taxes:

StateTax NameRate per MileAnnual Cost (10K miles)
OregonWeight-Mile Tax$0.237$2,370
ConnecticutHighway Use Tax$0.175$1,750
New YorkHUT (Highway Use Tax)$0.088$880
New MexicoWeight Distance Tax$0.045$450
KentuckyKYU (Weight Distance)$0.0285$285

How to Configure State Taxes

Step 1:

Check the box for each state you operate in

Step 2:

Enter miles driven in that state per month

Step 3:

Tax is automatically calculated at the state's rate

Step 4:

Total state taxes are added to your variable costs

Important Notes

Oregon Note: No fuel tax but highest per-mile tax

Tracking Required: Keep detailed mileage logs by state

Scenario A

Enter your current operational setup

Scenario B

Test alternative conditions

Copy A → B

Duplicate data for easy comparison

Side-by-Side Results

Instant comparison of profitability

Common Comparison Scenarios

Fuel Price Changes: Impact of $0.50/gallon increase

Equipment Upgrade: New truck with better MPG

Driver Pay Structure: Compare different compensation methods

Route Changes: Different states with varying taxes

Contract Terms: Various rate structures

Understanding Your Results - Key Performance Indicators

Learn what each metric means and how to interpret your calculator results for better business decisions.

Fuel Cost / Mile

$0.50-$0.75

What it is: Fuel expense per mile

How calculated: Fuel price ÷ MPG

Impact: Changes with fuel prices and driving habits

Fixed Cost / Mile

$0.30-$0.50

What it is: Monthly costs spread per mile

How calculated: Total fixed ÷ monthly miles

Impact: Lower with higher mileage

Driver Pay / Mile

$0.40-$0.70

What it is: Driver compensation cost

How calculated: Based on selected pay method

Impact: Varies by compensation structure

Variable Cost / Mile

$0.25-$0.45

What it is: Per-mile operating costs

Includes: Maintenance, tires, state taxes

Impact: Charges on every mile driven

Total Cost / Mile

$1.60-$2.20

What it is: All costs combined

Critical metric: Must stay below RPM

Impact: Determines profitability

Break-even RPM

Never Go Below

What it is: Minimum profitable rate

How calculated: Total costs adjusted for deadhead

Impact: The absolute floor for pricing

Pro Tip

Always quote 10-15% above your Break-even RPM to ensure profitability and create a buffer for unexpected costs or market fluctuations.
